Use the Construction Hoist Reservation Schedule Workbook to maintain requested and confirmed hoist slots by trade and floor or area. Download the free Excel workbook to record schedule items, accountable parties, dates, statuses, and concise source references in one controlled register.

This workbook supports an operational review process for hoist reservation schedule records. Enter one item per row, update reporting controls, and use the calculated dashboard and exception views to focus discussion on upcoming work, overdue records, late finishes, constraints, and missing record details.

How to use this workbook

Set the reporting controls

Start on Setup. Enter the Report As-of Date in m/d/yyyy format, such as 6/30/2026. Set the Upcoming Lookahead in days and the Late Variance Alert Threshold in days. These are user-defined review settings; they drive workbook reporting and do not establish project requirements or deadlines.

Add one reservation item per row

On Schedule, enter the item ID, project, hoist designation, trade, floor or area, activity or milestone, responsible party, requested slot start and finish, confirmed slot start and finish, planned dates, dependency or constraint, actual finish date, status, and source reference. The register has 100 prepared operational rows, from row 8 through row 107.

Use controlled status values

Select Requested, Confirmed, In Progress, Complete, or On Hold in the Status field. The Schedule sheet also checks that entered requested slot finishes are not earlier than requested starts, confirmed slot finishes are not earlier than confirmed starts, and planned finish dates are not earlier than planned start dates.

Review calculated results

Check Dashboard for counts, completion rate, status counts, upcoming planned items, and the status chart. Then review Exceptions for flagged records and the separate constraint and dependency list. Update the source Schedule record when a date, owner, status, or reference changes; the reporting views are calculated from that register.

Features

  • 100 prepared Schedule rows for reservation schedule items, from row 8 through row 107.

  • Calculated planned duration and finish variance displayed in days.

  • Dashboard counts, completion rate, status counts, upcoming items, and a status chart.

  • Separate exception register and constraint and dependency list driven by Schedule entries.

Construction hoist reservation schedule control

A construction hoist reservation schedule Excel workbook provides a single place to organize planned and confirmed reservation records. Each Schedule row identifies the hoist designation, trade, floor or area, activity or milestone, responsible party, requested slot dates and times, confirmed slot dates and times, planned dates, status, and source reference. The primary record is the scheduled reservation item, not a general equipment record.

This workflow can help a project team prepare for coordination discussions by showing who owns an item and what supporting record is referenced. It is intended for user-entered operational records and project-specific review.

Calculated date and status outputs

The workbook calculates Planned Duration in days as Planned Finish Date minus Planned Start Date. It calculates Finish Variance in days as Actual Finish Date minus Planned Finish Date. A positive finish variance can be reviewed against the editable late variance alert threshold on Setup.

The Dashboard calculates Total Controlled Items, Completed Items, Overdue Item Count, Completion Rate, actual late finishes above the threshold, and rows with exception flags. Completion Rate is calculated from Complete items divided by total controlled items. Calculated results depend on the dates and status entered by users.

Upcoming items, exceptions, and constraints

The upcoming planned item view identifies non-complete items with a Planned Start Date that falls from the Report As-of Date through the selected lookahead period. The Dashboard presents item ID, hoist designation, trade, floor or area, activity or milestone, planned dates, and status for those calculated upcoming items.

The Exceptions sheet lists records with an exception flag and separately lists Schedule records that contain a dependency or constraint. Flags can identify missing responsible-party information, missing source references, overdue non-complete items, and late actual finishes based on the workbook settings. A flag is a review prompt, not a finding or approval decision.

Workbook boundaries and source references

Use the Source Reference field for a concise pointer, such as an email date, meeting-note reference, drawing reference, request number, or internal file location. Supporting evidence remains outside the workbook. The Instructions sheet explains the user inputs, calculated outputs, source-reference approach, and worksheet map.

This workbook tracks requested and confirmed hoist reservation schedule records by trade and floor or area. It does not measure equipment utilization, maintenance, custody, operating capacity, or safe operating capacity. It also does not automatically evaluate overlapping reservations, verify field conditions, or replace project-specific source records and review.

Frequently asked questions

What information do users enter in the hoist reservation schedule?

Users enter an item ID, project, hoist designation, trade, floor or area, activity or milestone, responsible party, requested and confirmed slot dates and times, planned dates, dependency or constraint, actual finish date, status, and source reference. Enter one reservation schedule item per Schedule row.

Which fields are calculated by the workbook?

The Schedule sheet calculates Planned Duration in days and Finish Variance in days. It also creates calculated indexes for upcoming items, exception records, and constraint records. Dashboard calculates controlled-item counts, completed-item counts, overdue-item counts, completion rate, late-finish counts, status counts, and exception-row counts.

How does the workbook identify overdue items?

An item is counted as overdue when it has an item ID, is not marked Complete, has a Planned Finish Date, and that planned finish is earlier than the Report As-of Date on Setup. Review the underlying Schedule record before deciding what follow-up is appropriate.

Can I use this workbook to manage hoist equipment utilization?

No. This workbook is limited to reservation schedule records and related coordination details. It does not track equipment asset activity, utilization, maintenance, custody, operating capacity, or safe operating capacity. Use project-specific processes and source records for matters outside this reservation schedule scope.

What does the exception list mean?

The exception list is a calculated view of Schedule rows with exception flags. It can surface missing responsible-party fields, missing source references, overdue non-complete records, and late actual finishes above the selected threshold. It does not resolve or verify the issue; users should review and update the relevant Schedule row and source record.
